VVIP Manager - FIFA World Cup 26™

On Location is seeking a talented and motivated VVIP Manager to assist in planning exceptional experiences for the FIFA World Cup 26™ V/VIP hospitality programs. The role involves supporting the hospitality teams with day-to-day operations, managing event logistics, and ensuring high-quality service for exclusive events.

Responsibilities

Report to the Cluster Managers and Sr. Director for your day-to-day tasks
Responsible for assisting with tracking quotes, updating budgets, submitting invoices while working alongside accounting and VVIP team
Become proficient in our FileMaker processes and databases including Event Assignments, Upcoming Events, Expense Reports, Correspondence (Memos, General Info Documents, etc.), Client Invoices, Absolute Accounting/P&L, Time Sheets, Client & Vendor Contact Lists, Budgets & Contracts, Vendor Quoting, Event Contact Lists
Become proficient in our Smartsheet processes including maintaining our bidding database, tracking milestones and deliverables, and updating production timelines
Assist with site visit & event travel coordination and booking
Set up weekly calls with FIFA Guest Ops teams
Understand how to read and utilize diagrams
Manage event timelines and contact lists
Liaise with vendors to facilitate ordering and logistics such as load-in & load-out scheduling
Assist with creating production schedules
Assist with researching, writing, editing and preparing event proposals/presentations
Update manager and project leads
File Storage
Expense Reports
Process Invoices
Take meeting notes

Required

Any combination of training, education, and experience equivalent to graduation from an accredited college or university with a Bachelor's Degree in Sports/Hospitality Management, Business Management, or a related field
Considerable (1-3 years) full-time, progressively responsible experience in the hospitality and/or sports industry preferably including admin responsibilities, on-site event experience, event production, working on large-scale budgets, working with medium to large teams
Proficient user of Microsoft Office Suite | Adobe Acrobat
Highly organized and process-oriented
Attention to detail, carefully following instructions and checking work for accuracy
Ability to multi-task and remain calm in high-pressure situations
Strong communication, interpersonal, negotiation and conflict resolution skills
Good timekeeping and work ethic that is characterized by commitment, motivation, and energy

Preferred

Knowledge of FileMaker| Keynote | SharePoint | Smartsheets | Microsoft Teams | Zoom
Prior experience with large-scale sporting events a plus
Flexibility and positive attitude to work long days, evenings, weekends and holidays when necessary
Travel: Must be adaptable with work and travel schedule and be available to travel for work during holidays as well as being available throughout the full months of June and July 2026 during the FIFA World Cup. This position may require up to 30-40% travel
