Vice President, Property Management
Conifer Realty is a professional, service-oriented organization seeking a Vice President of Property Management to oversee the successful operation of their property management function. The VP will provide leadership to property management teams, ensuring performance and stability across multifamily, senior, and commercial units while focusing on maximizing Net Operating Income and achieving budget goals.

Responsibilities
Oversee Property Management activities of all managed properties
Lead and mentor direct reports
Manage collaboration among staff and across departments to implement strategy and maximize impact
Promote a culture of accountability, transparency, integrity, respect, and commitment
Promote exacting standards of performance, service quality, and operational efficiency
Develop leaders and encourage innovation to advance the theory of change
Ensure training needs are assessed, and necessary training programs are designed and implemented to meet staff requirements
Evaluate direct reports, counsels and recommends areas for improvement
Make annual salary recommendations based on overall performance ratings for property managers, and reviews and approves property managers’ salary recommendations for the management office staff
Along with the SVP, Property management and Leadership, establish high standard of performance, KPIs, and KRIs for key property management activities
Operate as a Senior Leadership Team member, providing department summary and guidance to other department heads – ensuring transparency and communication in pursuit of Conifer’s annual goals
Work with the Asset Management team to build reports and dashboards to communicate appropriate information to relevant audiences, including the board of directors
Ensure time and thorough completion of Property management responsibilities including but not limited to leasing, code compliance, building maintenance – in partnership with maintenance and facilities leadership, rent collections, reporting deliverables and ad-hoc request
Work closely with portfolio staff and the Compliance and Administration team to proactively address all regulatory compliance areas within the property management function
In partnership with the SVP, Property Management, develop and implement effective leasing and resident retention programs for all residents
Collaborate with Procurement, Asset management and Facilities and Maintenance leadership to negotiate major vendor contracts and pursue portfolio wide expense reductions through vendor bidding
Conduct regular side visits as needed to include but not limited to review of: curb appeal, status of Capex projects, common are and vacant unit inspections, and personnel issues
Work closely with the Risk Management and Legal departments to review status of liability and property damage claims
Review and manage the financials of the portfolio which includes maximizing NOI in accordance with property budgets, business plans and the minimization of individual property vacancies. In addition, this includes: Month end reporting, Action plans, Occupancy of portfolio, Rent collections and rent levels, Capital projects, Compliance with agency inspections and ensuring the site is prepared to meet the agency requirements
Ensuring that the sites have appropriate staff that is high performing. Coordinating staff between regions as appropriate for business needs
Build and maintain excellent relationships and reputations with residents, staff and other property management stakeholders. Handle any resident concerns that are not adequately resolved by the AVP/RM
Establish and maintain relationship with agencies that are involved with the properties in the designated region. Support the AVP when necessary to resolve any regulatory concerns that arise that need to be escalated
Conduct regular site visits to ensure that all properties are maintained within Conifer standards. Underperforming properties may need more frequent visits performed by VP or AVP, as assigned
Support AVPs in the preparation of annual budgets during the budgeting season. Review budget drafts of proposed business plans prior to submission for approval. Convene annual budget meetings and any other budget review sessions with Property Management and Asset Management leadership
In collaboration with Asset Management and Compliance & Administration, ensure rent increase process is completed and submitted in a timely manner, ensuring appropriate follow-up to achieve the expected results
Ensure that changes to management fees are implemented on time and accurately
Attend any interdepartmental meetings that involve either existing or new properties in the portfolio
Ensure that all property management staff informed and trained around rent-up schedule, tax credit delivery schedule and break-even plan for any new properties onboarded
Inform Property Management leadership (EVPs, Regional Managers, etc.) of any activity at the sites that are of concern and can potentially negatively affect the operation of the site and in accordance with the Conifer notification protocol
In the event of an emergency or disaster at the site; provide the physical corporate presence and support as appropriate
Other job-related projects, duties and tasks that may arise and are assigned
Qualification
Required
Minimum 8+ years of successful multi-site management experience required
Compliance experience with LIHTC, HUD-Section 8, RD, Fair Housing required
Strong MS Office suite (Word, Excel, PowerPoint, Outlook)
Strong financial management experience in site budgeting with roll-up to regional operations budgeting
Prior experience with the maximization of properties NOI in accordance with business plan and properties' budgets needed
Prior staffing, training, and performance management experience required
Must have reliable transportation/vehicle, appropriate valid vehicle insurance, and a valid drivers' license to attend regional, site and corporate meetings, in addition to training, conferences, others
Degree: 4-year College Degree required
Flexibility to travel to regional properties, Corporate, conferences, other meetings as required
Physical attendance at assigned work locations during scheduled hours is essential
Demonstrated excellent oral and written communication skills
Excellent customer service skills with ability to effectively collaborate with fellow colleagues at all levels, residents and their families, contractors, vendors, visitors, local and state representatives, other officials as required
Enthusiastic, highly motivated with a strong work ethic and has an intense focus on achieving results
Demonstrated expertise in change management and operational excellence
Ability to demonstrate organizational, time-management, and multi-tasking skills to effectively manage several projects with daily activities at one time to meet required timelines set

Preferred
Affordable Housing experience strongly preferred
Knowledge of industry software program(s) a plus; Yardi Voyager preferred
Nationally recognized industry designations, preferably in Affordable Housing a plus
