Adminstrative Assistant

Responsibilities

Serve as the primary point of contact: greet and assist all visitors with warmth and professionalism, ensuring smooth day-to-day operations
Answer and route incoming phone calls and emails promptly and courteously, ensuring accurate message delivery and follow-up
Maintain and manage the cleanliness and organization of the shared office spaces, including inventory and procurement of office supplies, kitchen stock, and equipment, ensuring cost-effective purchasing and consistent availability
Manage the relationship with the building manager and maintenance staff to ensure facility-related requests and maintenance issues are addressed promptly to ensure a safe, functional, and collaborative environment
Receive, sort, and distribute incoming mail and packages, and coordinate outgoing shipments with appropriate carriers and documentation
Schedule and confirm appointments, meetings, and conference room bookings, ensuring efficient use of shared spaces and resources
Provide general administrative support including data entry, document preparation, expense reporting, and photocopying as needed by various departments
Support and execute org-wide (monthly, quarterly, bi-annual) event planning, including meeting space, catering, and other logistical considerations
Collaborate with individual department, as well as cross-functionally with other departments within the organization
Maintain organizational excellence in terms of project timelines and deliverables

Required

Education: Associate's degree or equivalent years of experience
Experience: Minimum of 1-2 years of experience in an administrative role, office management role, or similar
Technology: Proficiency with Microsoft Office Suite, and an ability to learn company-specific software programs, tools, processes, and machines
Demonstrates exceptional time management skills to effectively prioritize tasks and meet deadlines in a fast-paced environment
Communicates clearly and professionally in both written and verbal formats, ensuring accurate and respectful interactions
Maintains strong organizational abilities to manage multiple responsibilities and maintain structured systems
Pays close attention to detail, ensuring accuracy in documentation, scheduling, and communications
Strong in Microsoft Office Suite and other productivity tools, enabling efficient document creation and data management
Applies sound problem-solving skills to anticipate issues and implement effective solutions
Exercises discretion and maintains confidentiality when handling sensitive information and communications
Adapts to shifting priorities and handles multiple tasks simultaneously with professionalism and composure
Self-motivated to work through complex problems and competing priorities, including a high level of detail and organization
Effective verbal and written communication skills
