Executive Assistant (Hybrid – Los Angeles)
IGNTD Inc. is a dynamic company focused on mental health and addiction recovery. They are seeking an exceptionally capable Executive Assistant to support Dr. Adi Jaffe, a nationally recognized psychologist, in managing multiple ventures and initiatives across various domains.
Responsibilities
Own Dr. Jaffe’s calendar, scheduling, and time-blocking across multiple businesses and commitments
Anticipate conflicts, prevent bottlenecks, and ensure smooth daily execution
Serve as the first line of organization, follow-up, and communication on priority initiatives
Prepare briefing documents before meetings and debrief action steps afterward
Draft and respond to emails on behalf of the executive with strong judgment and tone matching
Track and manage inbound requests from partners, clients, media, and internal stakeholders
Maintain professional, prompt, warm communication across high-level relationships
Support preparation for keynotes, workshops, and executive offsites
Assist with slide drafting, handouts, run-of-show documents, prep notes, and logistics
Help coordinate travel schedules, event itineraries, and speaking-related follow-ups
Help manage multiple parallel initiatives (clinical, business, real estate, writing, partnerships)
Track deliverables, deadlines, documents, and next steps across teams and collaborators
Build lightweight systems for accountability (ClickUp, Google Drive, dashboards, etc.)
Ensure nothing important falls through the cracks
Draft internal documents, outlines, notes, summaries, proposals, and executive communications
Support preparation of investor/client-facing materials and strategic memos
Assist with book/course workflow coordination and content organization
Support business development efforts: outreach follow-ups, lead tracking, scheduling calls
Assist in organizing brand partnership opportunities tied to wellness + Malibu project

Qualification
Required
Bachelor's degree or equivalent real-world executive support experience
2+ years experience supporting a senior executive, founder, or high-performance team
Exceptional organizational skill and attention to detail
Strong writing ability — clear, professional, and emotionally intelligent
High comfort managing multiple priorities in a fast-moving environment
Tech fluent: Google Workspace, Microsoft Office, Zoom, project management tools (ClickUp), AI tools
Ability to operate with discretion, maturity, and excellent judgment
High energy, self-motivated, proactive, positive, solution-oriented
Preferred
Social media experience a big plus
