Associate, AI Program Operations (Educate Texas)
Kaleidoscope Park, through its initiative Educate Texas, aims to address challenges in public education. The Associate, AI Program Operations will provide administrative and logistical support to the AI team, ensuring smooth execution of events and effective communication with stakeholders.

Responsibilities
Support program operations for the AI Collaborative portfolio, with a focus on coordination, execution, and follow-through
Coordinate planning and logistics for convenings, meetings, and related activities, including timelines, materials, registration workflows, and follow-up communications
Serve as a central point of organization for program communications, managing shared inboxes, responding to routine inquiries, routing requests, and tracking next steps
Maintain accurate records and tracking for program activities, including timelines, milestones, participation, and organized archives of program assets and materials used for meetings and events
Collaborate closely with program staff and cross-functional partners to anticipate operational needs, identify gaps, and support smooth execution across initiatives
Stay informed about emerging AI trends and developments in education, helping surface relevant insights that inform program planning and communications
Help support the collection of data that will inform the use and adoption of AI across the Texas education ecosystem
Bring a can-do attitude and flexible work style as EDTX is building a new initiative and the roles and responsibilities may adapt over time
Qualification
Required
Experience coordinating meetings, convenings, or events with strong organizational and follow-through skills
Ability to manage high volume communications, including shared inboxes and stakeholder inquiries
Strong written communication skills and comfort preparing presentations and digital content
Proficiency with CRM/database systems and form or workflow tools (e.g., Salesforce, Jotform)
Ability to track data such as attendance, milestones, and participation for reporting needs
Comfort troubleshooting routine technical or registration issues and improving processes
Curiosity about emerging AI trends and willingness to surface relevant insights
A proactive, solutions-oriented mindset suited to a fast-moving, startup environment
Effectively model and demonstrate CFT's core competencies which include Collaboration, Impact and Problem Solving, Integrity and Accountability, Learning, and Internal and External Service
Preferred
Bachelor's degree in education, business administration, public administration, or related field preferred
3 or more years of relevant experience
