Office Administrator

SoTalent is seeking an Office Administrator to provide comprehensive administrative support across various departments. The role involves managing daily administrative tasks, building relationships with staff and vendors, and coordinating with engineering and quality teams to address customer inquiries.

Responsibilities

Manage daily administrative tasks, including answering phones and organising digital and hardcopy documentation
Build effective working relationships with staff, visitors, vendors, and plant employees
Receive, review, and manage technical information provided by customers
Coordinate with Engineering and Quality teams to address customer questions and resolve issues
Track, document, and follow up on outstanding customer issues and concerns
Update data within the current ERP system and support transition to a new ERP system; assist with IT-related matters as needed
Perform quality control checks on documents generated in response to customer requests
Process and submit plant purchase orders and review returned sales acknowledgements for accuracy
Support project management activities, including preparing price lists, tracking deadlines, and facilitating communication
Maintain, organise, and order office supplies; manage inventory levels
Liaise with other internal locations to facilitate information exchange and resolve open items
Interact regularly with visitors, corporate stakeholders, and both hourly and salaried staff
Complete required Environmental, Health & Safety (EHS) training and perform EHS-related responsibilities
Provide administrative support to customer service and warehouse teams as needed
Demonstrate a strong teamwork mindset and support cross-functional projects and initiatives
Provide general administrative assistance within the department and across the plant
Take on additional responsibilities as required

Required

High school diploma or equivalent with prior experience in a similar administrative role within a manufacturing environment
Proven ability to manage multiple tasks simultaneously and meet deadlines
Strong data processing and record-keeping skills with high attention to accuracy
Excellent organisational, time management, verbal, and written communication skills
Ability to work independently as well as collaboratively within a team
Proficient working knowledge of Microsoft Office applications

Preferred

Associate or Bachelor's degree preferred
