Responsibilities
Assign notaries and coordinate signing appointments, providing direct contact information to clients
Prepare CDs and Settlement Statements in accordance with lender instructions, ensuring title and recording fees are correct
Confirm payoff amounts, tax status, and other requirements for closing
Review lender closing packages and securely deliver documents to notaries
Conduct pre-closing calls with both the customer and notary to confirm details and answer questions
Track and confirm signing appointments
Review signed packages for completeness; work with notaries to resolve discrepancies
Manage disbursements in a timely manner
Serve as the primary point of contact for closing-related questions and updates
Monitor and respond to incoming communications promptly
Maintain detailed and accurate records in the closing system
Escalate complex or time-sensitive issues to management as needed
Assist in training new team members and support ongoing process improvements
Meet established SLAs, performance goals, and quality standards
Occasional overtime may be required to meet critical deadlines
Qualification
Required
3+ years of experience in a title closing role, preferably with multi-state or national transactions
Strong knowledge of closing procedures and requirements across different states and products
High attention to detail with strong problem-solving and analytical skills
Excellent verbal and written communication abilities
Ability to manage multiple priorities in a fast-paced, deadline-driven environment
Strong organizational and time management skills
Collaborative team player with a client-focused approach
Preferred
Familiarity with Resware or similar title/closing software preferred
