Billing Administrator/Coordinator

The Billing Administrator/Coordinator plays a key role in supporting billing operations for the Service and Sales Departments, handling invoicing, customer communication, and work order processing.

Responsibilities
Review completed service work orders for accuracy prior to invoicing
Create service invoices including labor, parts, travel charges, PM contracts, and miscellaneous fees
Ensure correct cost coding, warranty billing rules, and contract billing processes are followed
Track open, billed, and pending service jobs and maintain organized documentation
Collaborate with Accounting for corrections, credits, or invoice adjustments
Prepare and process invoices for equipment sales, rentals, leases, and special projects
Verifying all required documentation from Sales is complete (POs, delivery receipts, sales agreements)
Coordinate with Sales Representatives to clarify pricing, contract terms, and customer billing requirements
Ensure timely and accurate billing for equipment orders, attachments, aftermarket add-ons, and rentals
Create, update, and close service work orders in the service management system
Verify maintenance agreements, and parts requirements
Ensure technician notes, parts usage, labor hours, and diagnostic findings are accurate and complete
Assist the Service Manager with reporting, workflow planning, and customer outreach
Help answer inbound service calls and dispatch jobs as needed
Maintain compliance documentation, service logs, and organized service files
Support communication across Service, Parts, Sales, and Accounting departments
Qualification
Required
Experience in service writing, billing, customer service, or administrative roles in equipment-related industries
Strong billing and invoicing accuracy with high attention to detail
Mechanical aptitude and ability to understand basic equipment terminology
Proficiency with ERP/service software systems
Excellent communication and multi-tasking skills
Preferred
Knowledge of forklifts, warehouse equipment, hydraulic systems, or industrial machinery preferred
Experience with sales invoicing for equipment or industrial products
Understanding of warranty billing and manufacturer service programs
