Administrative Operations Assistant
Confidential is a fast-paced company in West Seattle with 70+ employees, seeking an experienced Administrative Operations Assistant to lead operational and administrative functions. The role involves overseeing office operations, supporting executive leadership, managing compliance, and enhancing employee experience.

Responsibilities
Own and oversee daily office and workplace operations with a focus on efficiency, compliance, and continuous improvement
Serve as the primary point of contact for facility management, office vendors, and service contracts
Evaluate, recommend, and implement process improvements for administrative and operational workflows
Develop and maintain office policies, procedures, and internal documentation
Act as a strategic administrative partner to executive leadership, anticipating needs and resolving operational challenges
Coordinate cross-departmental initiatives and support leadership projects as assigned
Prepare reports, summaries, and operational insights for leadership review
Oversee onboarding administration and ensure employee records are accurate, compliant, and audit-ready
Manage benefits administration support, company-required licenses, and ongoing compliance tracking
Partner with HR and leadership on recruiting coordination, internal communications, and employee lifecycle processes
Maintain strict confidentiality and exercise independent judgment when handling sensitive information
Oversee administrative financial processes including invoicing, expense tracking, and vendor payments using Sage and ADP
Monitor office-related expenses and identify cost-saving or efficiency opportunities
Ensure data accuracy and system integrity across administrative platforms
Lead the planning and execution of company events, employee engagement initiatives, and morale-building programs
Champion a positive, inclusive, and professional workplace environment
Serve as a culture ambassador who helps reinforce company values through actions and initiatives
Qualification
Required
Proven experience in a senior administrative, office management, or operations role with broad responsibility
Strong organizational and project management skills with the ability to prioritize independently
Excellent written and verbal communication skills with comfort interacting with executives and external partners
Advanced proficiency in Microsoft Outlook, Word, Excel, and PowerPoint
Demonstrated ability to handle confidential information with discretion and professionalism
Strong problem-solving skills with a continuous improvement mindset
Ability to work independently, make informed decisions, and take ownership of outcomes
Preferred
Experience working with HR, payroll, accounting, or ERP systems; Sage and ADP preferred
