Executive / Personal Assistant to the Director

The Center of Theological Inquiry (CTI) seeks a dependable, highly organized Personal Assistant to provide day-to-day administrative and logistical support to the Director. This role is designed to reduce administrative load, support effective time management, and enable the Director to remain fully engaged, present, and focused in meetings, events, and leadership responsibilities.

Responsibilities

Manage and organize the Director’s email inbox, including prioritizing messages and drafting responses when appropriate
Maintain and coordinate the Director’s calendar, including scheduling meetings, appointments, and events
Track commitments and ensure timely follow-up on action items and deadlines
Arrange travel logistics, including booking flights, hotels, ground transportation, and related itineraries
Coordinate visitor logistics, including hotel reservations, restaurant bookings, and scheduling support
Ensure smooth preparation and scheduling for meetings and visits
Research and prepare background bios for meetings with donors using FileMaker, Google searches and other sources
Supply the Engagement Officer with all notes and details of meetings for FileMaker entry
Provide hands-on, practical administrative and day-to-day support throughout the day, handling essential tasks as they arise
Anticipate needs and proactively address organizational or logistical matters
Support planning and logistics with and/or led by the Director
Help the Director remain organized, focused and fully engaged in daily responsibilities

Strong organizational and time-management skills
Excellent written and verbal communication
High attention to detail and reliability
Demonstrated ability to follow tasks through to completion with accuracy and timeliness

Sound judgement and discretion in handling confidential information
Comfortable with flexibility and fast-moving environment

Preferred

Administrative or executive support experience (typically 3-5 years)
