Community and Development Events Coordinator
Boston MedFlight is seeking a Community and Development Events Coordinator to plan and execute external events and engagement activities. The role involves coordinating logistics for various events, managing vendor relationships, and ensuring successful community outreach efforts.

Responsibilities
Plan and execute Development and Business Development events (fundraising, stewardship, sponsorship, and partner events) from concept through wrap-up
Build timelines, run-of-show documents, and staffing plans; lead day-of coordination and execution
Coordinate vendors and contracts (venues, catering, AV, rentals, printing, transportation), including quotes, approvals, and invoicing
Manage invitations/RSVPs, attendee communications, and on-site logistics (seating, signage, accessibility)
Coordinate event materials and messaging with Marketing & Communications
Track budgets and produce post-event debriefs with outcomes, lessons learned, and next steps
Coordinate Boston MedFlight’s participation in community outreach and partner engagements; manage logistics, materials, and staff scheduling
Manage facility tours and site visits: schedule requests, coordinate internal hosts, and manage visitor communications and logistics
Prepare agendas and briefing materials aligned to the audience (donors, sponsors, healthcare partners, and community leaders)
Maintain outreach and tour inventory (collateral, banners, signage) and ensure materials are current and ready for use
Capture contact information and next steps, and route follow-up actions and thank-yous to the appropriate team members
Represent Boston MedFlight at community outreach activities and partner engagements, including travel by personal vehicle as needed
Coordinate closely with the Development, Business Development, and Marketing/Communications teams to support other external relations priorities
Complete special projects assigned by the Chief Development Officer and Director of Business Development
Qualification
Required
Minimum of three (3) years of professional experience coordinating events and/or community outreach, including vendor management and logistics
Experience coordinating vendors and managing event budgets, quotes, contracts, and invoices
Strong project management skills and attention to detail; able to manage multiple deadlines and stakeholders
Strong written and verbal communication skills; comfortable interfacing with donors, sponsors, partners, and community stakeholders
Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) comfort learning CRM and event registration tools
Ability to work occasional evenings and weekends, and travel by personal vehicle as required
Demonstrated discretion, professionalism, and ability to maintain confidentiality
Must be able to speak, read, write, and comprehend English without restriction
Must pass FBI and/or CORI background check prior to starting employment
This position requires current COVID-19 and seasonal flu vaccinations, subject to medical or religious exemption requests
Preferred
Bachelor's degree preferred
Nonprofit development and/or fundraising event experience preferred
