Wealth Administrative Assistant

The Wealth Administrative Assistant will perform operational support and administrative duties for the Wealth Department, including extensive client interactions and managing various administrative tasks.

Banking

Responsibilities

Maintain confidentiality of client information and possess accuracy and attention to detail
Work well in a team environment and on an individual basis with a positive attitude
Complete tasks independently while re-prioritizing & multi-tasking to help meet deadlines
Demonstrate strong written and oral communication skills
Meet and greet incoming clients
Answer incoming phone calls
Prepare invoices, reports, memo letters, and other documents as needed
Perform general office duties including but not limited to ordering supplies; maintaining records; and opening, sorting, and distributing incoming and outgoing correspondence
Coordinate and assist with information requests from internal and external sources
Plan and organize client events
Perform additional responsibilities as assigned
Manage Online Client Portal
Open, sort and arrange all incoming client tax data
Use Tax software to log and track tax preparation status
Assemble tax returns and other reports and presentations for client delivery
Schedule appointments for tax return intake and delivery appointments
File and maintain client records
Use INB’s core brokerage system and reporting tools to gather data and generate reports
Help with processing account opening paperwork and transactions, i.e., distributions, receipts, and account related data updates for customers
Schedule appointments with Brokerage clients
Assist with marketing projects and mailings

Required

Ability to solve practical and abstract problems where only limited information exists
Ability to interpret instructions furnished in written, oral, diagram, or schedule form
Strong analytical skills with excellent attention to detail and accuracy
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions and percentages
Ability to apply mathematical concepts such as basic algebra and geometry
Strong written and oral communications skills, to present information and to respond to questions from managers, clients, and the general public
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, and governmental regulations
During certain deadline-driven times, overtime will be expected and required

Preferred

Associates degree or two years of related experience and/or training preferred
Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, and other office procedures
Tax, Bookkeeping/Accounting and QuickBooks experience preferred
Bookkeeping and/or Accounting experience, specifically using QuickBooks, would be a plus
Data analytics and experience with general ledger software, specifically QuickBooks, would be a plus
