Anchorage Office Manager

Responsibilities
Keeps track of office needs (supplies, equipment, etc.), including maintaining inventory, ordering supplies in a timely manner, and supporting the smooth day-to-day operation of the office
Assists staff assigned to the MAO with administrative needs such as filing, copying, word processing, data entry, and timesheet support, as applicable
Serves as the primary point of contact for scheduling use of conference rooms for meetings and training sessions, including coordinating room setup and ensuring audiovisual and other systems are operating properly
Assists with preparation for meetings, trainings, and other office functions, including compiling materials and coordinating logistics
Troubleshoots basic office equipment and administrative issues and coordinates with IT or maintenance as needed
Often serves as the first point of contact for visitors to the MAO and represents Maniilaq in a professional, welcoming, and customer-focused manner
Works independently with a high level of self-motivation, initiative, organization, and attention to detail
Serves as the primary liaison with building management and maintenance staff regarding office needs and facility-related issues
Provides administrative and clerical support to the General Counsel, including assistance with document preparation, organization of legal files, and coordination of legal-related activities, as assigned
Assists with credit card reconciliation, including tracking receipts, verifying charges, and supporting timely and accurate reconciliation in accordance with organizational policies
Coordinates and books travel arrangements as needed, including airfare, lodging, and related logistics, ensuring compliance with travel policies
Drafts, formats, and updates documents using established templates (e.g., Word documents, correspondence, reports), demonstrating strong attention to detail and accuracy
Maintains confidentiality and discretion when handling sensitive, legal, financial, or personnel-related information
Other related duties as assigned
Qualification
Required
High school diploma or equivalent
Must have good administrative and clerical skills as well as knowledge of office software programs
Must have the ability to communicate effectively, both verbally and in writing
Must be able to execute assigned duties professionally
Comfortable with supervision via electronic means
Preferred
An A.A. college degree or three years of office administrative experience preferred
Three years supervisory experience preferred
