Accounts Receivable Specialist

KidsTLC organization is looking for an Accounts Receivable Specialist to manage day-to-day billing and receivable activities. This role will handle claim submissions, payment postings, and resolve billing issues while collaborating with various personnel within the organization.

Responsibilities

Prepare invoices and statements, post payments received and submit clean claims to requisite payors (electronically or by paper), pursuant to Clean Claim Act regulations
Review of outstanding receivables as outlined by the Director of Revenue Cycle. Investigate delinquent or incorrectly paid claims and process corrections according to CBO policies and procedures
Serve as the initial point of contact for routine billing-related questions, including responding to inquiries from providers, Lotus Office Support personnel (Office Manager, Front Desk), families, and internal partners
Identify discrepancies and take appropriate action to support accurate billing, advocate for families when appropriate, and support department goals of maintaining optimal Days in Accounts Receivable and Collection Percentages
Review Quotes of Benefits (QOB) and create financial patient responsibility worksheets as needed
Escalate complex, sensitive, or unresolved billing issues to the Director of Revenue Cycle, providing clear documentation and recommended next steps, and keeping appropriate Lotus personnel informed of status and resolution
Maintain accurate documentation and records in billing and claims systems in accordance with organizational and payer standards
Participate in cross-training and maintain knowledge of related billing processes to support operational continuity
Provide input on workflow efficiency and process improvement opportunities within the Accounts Receivable function

Required

Two-year degree or equivalent work experience
2–3 years of experience in an accounts receivable processing environment
Demonstrated ability to manage assigned accounts independently and serve as a reliable point of contact
Excellent interpersonal, verbal, and written communication skills
Strong recordkeeping, organizational, and time management skills
Effective problem-solving and decision-making abilities
Proficient computer skills, including billing and claims systems
Ability to read and interpret documents such as Explanations of Benefits (EOBs), instructions, and procedure manuals
Ability to generate routine reports and correspondence
Ability to communicate clearly and effectively with internal and external stakeholders, including families, payors, and organizational partners
Proficient in reading and interpreting insurance forms, contracts, and clinical documentation
Ability to perform basic math: add, subtract, multiply, and divide in all units of measure using whole numbers, fractions, and decimals
Strong problem-solving, judgment, and decision-making skills
Ability to build trust and respect with clients, staff, and partners
Must be self-directed and able to collaborate effectively
Professional and composed when managing challenging conversations or conflict situations
Proficiency in Microsoft Office (Outlook, Word, Excel)
Familiarity with industry-specific software and web-based systems
Regularly required to sit, stand, walk, talk, and hear
Occasionally required to lift/move up to 25 pounds
Must have adequate vision to perform computer-related tasks
May be required to respond physically in situations involving agitated youth or guardians
Standard office environment
Fast-paced setting with moderate to high noise levels

Preferred

Experience with Kansas Medicaid billing, Behavioral Health, or Autism billing
