Responsibilities

Coordinate and book travel accommodations for DMV employees attending trainings, orientation, and other official business events
Coordinate senior leadership attendance at annual conferences, track agency travel assistance program
Reviews travel authorization and reimbursement requests, ensuring accuracy, completeness, and compliance with agency travel policies
Maintain agency Lodging purchase card. Audit and reconcile vendor invoices prior to payment
Serves as the primary point of contact for travel-related inquiries and guidance
Briefs new employees during Orientation on travel and hotel information
Serves as the primary point of contact for the Business Continuity Plan and AAMVA after action reports
Manages the schedule and coordinates the logistics and maintenance of internal and external meetings in agency's main meeting rooms in the agency's headquarters, to include troubleshooting AV equipment; maintains inventory of AV equipment; creating agendas, handouts, and distributing products to agency leadership and attendees; attending meetings, recording minutes and action item assignments and distributes same to appropriate entities
As required, assumes the duties and responsibilities of the Executive Assistant in their absence. Supports the Executive Assistant during the United Way campaign

Required

A high school diploma and relevant experience
Must complete a nationwide criminal background check to include finger printing
Knowledge of the agency's mission, strategic goals and operational programs
Proficient in Microsoft Office Suite
Exceptional written and oral communication skills
Ability to prioritize and manage multiple tasks at once
Ability to plan, organize and coordinate efforts of other employees
Ability to coordinate diverse administrative/management functions
Ability to establish and maintain effective working relationships
Troubleshooting and problem-solving abilities
Reports to the Plans and Alignment Senior Manager to provide administrative support to agency leadership
Works under limited supervision and performs a variety of administrative tasks within the agency's headquarters
Works in a general office environment sitting for prolonged periods of time and significant time spent at a computer
May require extended hours outside of normal scheduled hours

Preferred

A bachelor's degree or at least two (2) years' experience in administrative services, finance, planning, travel coordination, or business administration
