Administrative Assistant - Coupa - Part Time
Sunrise Systems, Inc. is a leading health insurance company seeking an Administrative Assistant with Coupa experience for a part-time, remote role. The position involves supporting the procurement process, managing vendor onboarding, and providing logistical support for events.

Responsibilities
Support the PO, invoicing and contract execution process for events
Daily tracking of information, working with Procurement teams and internal finance teams to onboard vendors (using Coupa tool), take contracts through the full onboarding/approval process, ensure payments are made timely and successfully
Troubleshoot challenges with flexibility and a solution-oriented mindset, track information carefully and accurately
Additional support could include administrative/logistical support for events (shipping, tracking of info, promotional items, etc.)
Provides routine administrative support to department
Creates and edits correspondence, presentations, and reports from rough drafts to completion ensuring accuracy of spelling, grammar, etc
Screens telephone calls and route to the appropriate department/person
Opens, reviews and distributes mail throughout the department to ensure mail is received by addressee
Maintains department's records/files to ensure accurate record keeping, security, and confidentiality of files
Maintains calendar(s), schedules meetings and appointments, and arranges travel and hotel accommodations as necessary to ensure effective time management
Performs confidential administrative functions such as assembling reports or proposals for staff, customers, or outside agencies
Maintains and orders department's office supplies, forms, brochures, and/or advertising/sales materials
Qualification
Required
Coupa experience
Part-time availability (24 hours a week, preferably 3 days a week)
Support the PO, invoicing and contract execution process for events
Daily tracking of information
Working with Procurement teams and internal finance teams to onboard vendors using Coupa tool
Take contracts through the full onboarding/approval process
Ensure payments are made timely and successfully
Troubleshoot challenges with flexibility and a solution-oriented mindset
Track information carefully and accurately
Administrative/logistical support for events (shipping, tracking of info, promotional items, etc.)
One to two years of administrative experience with at least one year providing administrative support
Demonstrated ability to successfully perform multiple tasks in a fast-paced environment
Type 30 wpm
Proficient with Microsoft Word
Working knowledge of Microsoft Excel and PowerPoint
Knowledge of desktop publishing
Strong verbal and written communication skills
Ability to type, proofread, revise, and edit up to 75% of the time
Monitor and track expenses within budget guidelines
Preferred
Experience with Coupa (software tool-basic terminology, familiarity with processes and how to navigate)
Organized and experience tracking budgets
Basic purchasing and accounting
Understanding of the concept of internal cost centers and billing back internally
Experience working with Procurement and AP
Experience and awareness of event contracts and working with external vendors (sales contact at hotel/restaurant)
Skilled at troubleshooting problems, a strong solution mindset and ability to be flexible to change and ambiguity
