Administrative Assistant, Lincolnwood, IL
UPholdings is seeking an Administrative Assistant to facilitate the efficient operation of their assigned department. The role involves performing a variety of clerical and administrative tasks, including managing phone calls, handling mail, and maintaining filing systems.

Responsibilities
Answers, screens, and directs phone calls to staff; takes messages and schedules appointments
Receives mail, documents, packages, and courier deliveries and delivers or distributes items
Manages all the outgoing mail
Performs basic filing and recordkeeping; filling of physical documents and/or scans documents for record keeping; for electronic filing documents must be renamed and saved in proper electronic folders
Assisting with various data entry, filing, organizing and clerical tasks
Maintains filing systems and focusing on electronic retention of records
Retrieves information as requested from records, email, minutes, and other related documents
Responds to and resolves administrative inquiries and questions
Coordinates and schedules travel, meetings, and appointments for managers or supervisors
Maintains office supplies and coordinates maintenance of office equipment
Performs other various administrative and clerical support tasks as directed by supervisor
Qualification
Required
At least 2-4 years of general administrative, clerical, receptionist experience
Excellent verbal communication skills
Excellent interpersonal and customer service skills
Excellent organizational skills and attention to detail
Basic understanding of administrative and clerical procedures and systems
Proficient with Microsoft Office Suite or related software
Ability to work independently
Prolonged periods sitting at a desk and working on a computer
Must be able to lift up to 25 pounds at times
