Finance Administrator (part time)

The Global Institute on Innovation Districts is a not-for-profit organization focused on innovation ecosystems. They are seeking a part-time Internal Bookkeeper/Financial Administrator responsible for managing day-to-day accounting activities, supporting audits, and providing budgeting and cash flow visibility to leadership.

Responsibilities

Use QuickBooks Online (QBO) to support budgeting, forecasting, and financial tracking, including cash flow projections
Own and maintain internal accounts receivable (A/R) tracking, including maintaining an A/R tracker to monitor outstanding invoices, payment status, and to conduct follow-ups where appropriate
Process and track vendor invoices and payments, including integrations with global HR platform
Help develop project/program-level budgets and monitor actuals vs. budget allocations
Coordinate closely with the external bookkeeper to ensure timely and accurate financial records and reports
Review financial reports for accuracy and reasonableness and flag issues for resolution
Support 1099 preparation and coordination with external providers
Support audits and financial reviews by gathering documentation and coordinating with the external bookkeeper
Maintain organized financial documentation and internal financial controls
Serve as an internal point of contact for finance-related questions from staff and leadership

Required

Strong experience with QuickBooks Online (QBO)
Experience with budgeting, forecasting, and financial tracking
Experience supporting audits and financial reviews
Familiarity with 1099 processes (preparation and coordination)
Experience with invoice processing and accounts payable workflows
Ability to work collaboratively with external accounting/bookkeeping partners
High attention to detail and strong organizational skills
Ability to communicate financial information clearly to non-finance stakeholders

Preferred

Familiarity with Bill.com
Prior experience working with nonprofit organizations
Experience working in environments with outsourced bookkeeping or accounting firms
Knowledge of nonprofit fund accounting principles
