Responsibilities
Fully support 3-4 executives as detailed below
Oversee and coordinate all logistics for executive meetings, events, and travel arrangements, ensuring seamless execution for executives and other team members as necessary
Provide reliable backup support to administrative team members, ensuring continued office functionality and smooth workflow in the absence of personnel
Accurately prepare and submit detailed expense reports, ensuring compliance with company policies and timely processing
Serve as the primary point of contact between executives, internal teams, and external partners, fostering effective communication and relationships
Assist with planning and tracking key projects, ensuring deadlines and deliverables are met in alignment with organizational goals
Oversee confidential and sensitive information with discretion
Qualification
Required
3-5 years of administrative support experience in a fast-paced environment; financial services experience a plus
Proactive, solution-driven, with the ability to anticipate needs and gather relevant information
Detail-oriented with strong organizational, follow-up, and multitasking skills
Able to thrive under pressure, managing multiple projects and deadlines with professionalism
Excellent communication skills, both written and verbal, with the ability to interact with all levels of staff and clients
Proficiency in Microsoft Office Suite and familiarity with collaboration tools (e.g., Teams, Zoom)
