Responsibilities
Greet all visitors with a warm, professional demeanor, manage check-in systems and maintain a high-standard "aesthetic" in all common areas
Manage a multi-line phone system and serve as the central filter for office emails, routing inquiries to the correct property and/or department with speed and accuracy
Manage, coordinate, and schedule complex meeting schedules for CPO, coordinate and assist with travel itinerary. Manage shared conference room bookings
Maintain the office/kitchen inventory by proactively ordering supplies, managing incoming/outgoing digital and physical mail, and coordinating with vendors for office maintenance
Provide project support to HR and Operations as assigned, including but not limited to administrative document processing, document formatting, and expense report preparation
Oversee all "day-of" logistics, including guest registration, dietary requirements, and technology setups
Ensure office security by monitoring visitor access
Qualification
Required
Advanced skills in Microsoft 365 (Outlook, Excel, Teams)
Familiarity with project management tools
Exceptional interpersonal skills with the ability to remain calm and empathetic under pressure
Extreme attention to detail with the ability to manage competing priorities without sacrificing quality
Comfortable learning new AI-driven automation tools and navigating evolving workplace protocols
Preferred
Associate's degree preferred
1–2+ years of experience in a customer-facing or administrative role
