Office Assistant
Duffy's Electric, llc is a full-service electrical contracting company specializing in commercial electrical projects across Maine. They are seeking a highly organized and self-motivated Office Assistant to support Office/Branch/Service Managers and manage various administrative tasks.
Responsibilities
Working directly with and supporting Office/Branch/Service Managers
Phone answering/call logging
Filing/Maintaining files
Processing document requests
Data entry
AP/AR support including invoice entry and PO matching
Prepare billing packets and send follow-up reminders
Maintain vendor compliance documents (W-9s, COIs, agreements)
Qualification
Required
Proficiency in Administrative Assistance, Clerical Skills, and Office Operations
Proficiency with Microsoft Office 365 (Excel, Word, Outlook)
Experience using Google Calendar, Drive, Docs, Sheets
Professional communication skills (phone, e-mail, written)
Experience with handling and operating Office Equipment
Ability to stay organized, manage shifting priorities, and meet deadlines
Strong organizational skills, problem-solving skills, and excellent attention to detail
Fast learner, positive attitude, dependable work ethic
Thrives in a high-volume, fast-paced environment
Self-driven, proactive, and comfortable working without direct supervision
Preferred
Experience with Quickbooks is beneficial but not required
Experience in construction or electrical contracting is helpful but not required
