Program Assistant (Specialty Court Program Assistant)

The Oregon Department of Human Services is seeking a Program Assistant for their Specialty Court Program. Responsibilities

Evaluate applicants’ eligibility for specialty court program participation
Gather program participants’ data
Create and maintain participant files
Enter data into a statewide database
Explain program rules, policies, forms, guidelines, and services to program applicants and participants
Track information related to performance measurements
Maintain spreadsheets and report program-related statistics
Collaborate with community partners and facilitate the exchange of information
Use problem-solving skills to help program participants and improve the specialty court programs
Maintain the specialty court calendar and schedule cases
Assist judges in the courtroom by recording specialty court sessions and performing other clerk duties as needed
Coordinate graduation ceremonies, training events, guest speakers, and program planning meetings
Answer phones and manage the supplies needed to operate the program

Required

The qualified candidate must have a bachelor's degree in business or public administration, behavioral or social/human services, or a closely related field
One (1) year of increasingly responsible technical or professional-level program experience that typically supports the knowledge, skills, and abilities required for the position
Any combination of education and experience equivalent to five (5) years of experience that typically supports the knowledge, skills, and abilities for the position
Experience reviewing applicants' materials to determine eligibility for entry into a program and meeting with program participants
Experience explaining rules, policies, procedures, and decisions on behalf of an employer
Experience accomplishing work through developing collaborative relationships with internal and external stakeholders
Experience tracking, collecting, and reporting complex data
Experience identifying, handling, and securing confidential information and materials

Preferred

Experience working in a court or other legal environment is preferred but not required
