Senior Administrative Assistant

Responsibilities

Manage complex calendars, prioritize and schedule meetings (internal and external), and anticipate scheduling needs across time zones
Coordinate domestic and international travel arrangements and prepare expense reports (using Concur)
Serve as an operational extension of the team, helping to manage communications, ensure alignment around key activities, and support execution across the span of delegation
Support internal communications and team collaboration by capturing input and turning team-building or planning discussions into tangible outputs and action steps
Assist in coordinating and planning cross functional team meetings, workshops, and events—including offsite logistics, venue selection, agendas, and follow-ups
Maintain department files, records, and shared resources with accuracy and confidentiality
Monitor and reinforce adherence to internal processes, policies, and key deadlines
Collaborate with other administrative staff to ensure continuity, support cross-functional efforts, and drive cohesion across departments
Prepare, edit, and distribute presentations, spreadsheets, memos, and meeting notes as needed
Provide support for small-scale projects as assigned, including status tracking and stakeholder coordination

Required

Associate degree preferred
6–8 years of administrative support experience in a corporate environment, preferably in a life sciences setting
Demonstrated experience managing executive calendars, travel arrangements, and expense reports
Proficiency in Microsoft Office Suite (Outlook, Teams, Word, Excel, PowerPoint); experience with Concur strongly preferred
Excellent written and verbal communication skills; able to interact professionally with internal and external stakeholders
Strong organizational and project coordination skills, with a proven ability to manage multiple tasks simultaneously
Continuous learning mindset
Discretion, sound judgment, and the ability to maintain confidentiality are essential
Collaborative, team-oriented with a proactive, adaptive and solutions oriented approach
Willingness to travel occasionally for offsite meetings and events
This role will require 3 days per week onsite in Conshohocken, PA
