Administrative Assistant, Application & Wait List Department

Housing Authority of Baltimore City (HABC) is dedicated to maintaining and modernizing public housing while enriching residents' lives through various programs. The Administrative Assistant will provide essential clerical support within the Section 8 Housing and Urban Development (HUD) VASH Program, including correspondence preparation, file maintenance, and coordination of clerical staff work.

Responsibilities

Provides administrative support; work includes typing, reading, editing, processing information, and typing correspondence to contractors, legal counsel, consultants, etc
Schedules meetings: answers telephone inquiries; types a variety of letters, forms, memos, and other forms of correspondence; creates, maintains, and updates various spreadsheets
Answers telephone inquiries from the staff, outside organizations, residents, and the general public; directs and expedites all calls and/or complaints to the appropriate parties
Attends meetings as necessary; may compose meeting minutes and type agenda
Maintains complex filing systems for correspondence and related materials
Plans, organizes, and maintains the daily routine in the office
Responsible for the correction, verification, sorting, and distribution of files
Performs other duties as assigned

Required

High School Diploma and 30 credit hours of college coursework preferred with 2 years of related experience
Possession of a valid Maryland driver's license
Must be able to be covered under the Authority's fidelity bond
Must be able to be covered under the Authority's vehicle insurance policy
Availability to work some evenings and weekends as needed
Successful completion of a prescreening investigation, including verification of employment history and education credentials
A 6-month probationary period applies to this full-time permanent position
Excellent clerical skills

Ability to act independently
