Responsibilities

Provide exceptional administrative support including scheduling and calendar management, travel bookings, and expense management
Facilitate and coordinate on and off-site meetings and video conference calls - including creating agendas, organizing materials, and managing logistics
Review, reconcile and submit various reports (Travel, Expense, Gift and Entertainment) with required detail and accuracy. Ensure all submissions comply and adhere with corporate policies
Manage general administrative and office management functions – photocopying, filing, organizing, scanning, incoming and outgoing mail and correspondence, and maintenance of office supplies and equipment
Provide support in developing and editing presentations, typically in PowerPoint
Conduct research and compile information for multiple types of statistical reports, using various software, including MS Office, Excel, and Salesforce
Manage relationships with building staff, maintenance, vendors, service providers, and property manager
Onboard new staff members and secure building access, system access, new equipment, corporate credit cards, etc
Work with other administrative team members across business units to handle requests and queries from key executives and senior managers

Required

4+ years of administrative experience in a fast-paced environment
Flexibility to work from our New York City office as needed, with advance notice
A mastery of all Microsoft Office applications (Word, Excel, PowerPoint, Teams and Outlook)
A high degree of professionalism and strong work ethic coupled with a sense of responsibility and integrity
Discretion required in handling highly sensitive and confidential information in a respectful and confidential manner
Strong initiative, self-motivation, good judgement, and the ability to multi-task
Excellent interpersonal and communication skills
Solid editing and proofreading skills and an attention to detail
Ability to think proactively and anticipate needs
Ability to work under tight time constraints and be able to prioritize work
Ability to work well with and partner with other administrative and professional staff
