Program Support Assistant

The U.S. Department of Veterans Affairs is seeking a Program Support Assistant for the Dayton VA Medical Center's Surgical & Procedural Care Nursing Service. The role involves managing the timekeeping process, performing data entry, and providing administrative support to ensure accurate processing of time cards while interacting with nursing staff and other departments.

Responsibilities

Monitors and reports time and attendance utilizing commonly used pay plans and types of leave - or limited special pay situations
Handles clerical tasks - correspondence - and reports compilation in time frames required
Supports coworkers and supervisors by preforming administrative work and providing program support as needed
Orders office supplies - computer paper and equipment repairs as needed
Monitors and responds to non-urgent correspondence at minimum daily while on duty
Responses to urgent correspondence withing an hour
Immediately discusses with supervisor if unable to meet time frames
Orients other administrative personnel who have timekeeping responsibilities
Maintains positive teamwork and resolves conflicts professionally
Assists with administrative special projects
Tracks - logs - and reports various time and attendance categories - compiling data on salary costs - hours worked - and full-time equivalencies
Assists in on boarding new employees by setting up time cards and proper placement in tracking systems
Utilizes a range of software applications (i.e. - Word - Excel - Outlook - etc.) for timekeeping - email - and staffing
Verifies and reviews time reports for accuracy - including overtime - special pay - and FMLA - ensuring required signatures and documentation are in place
Attends management meetings to review and apply time and leave policies and regulations
Maintains strict confidentiality and protects data from unauthorized release - loss - alteration - unauthorized deletion and in compliance with privacy laws and VA policies
Other duties as assigned

Required

One year of specialized experience equivalent to at least the next lower grade GS-04 in the normal line of progression for the occupation in the organization
Providing clerical - technical - or customer support
Maintaining employee records - such as timekeeping - attendance - onboarding/New Hire support
Communicating with others - while providing consistent information according to established policies and procedures
Using computer programs to prepare documents
Successfully completed four (4) years of education above the high school level in any field which high school graduation or the equivalent is the normal prerequisite
Combination of specialized experience and education beyond
Equivalent combinations of successfully completed post-high school education (beyond the second year) and specialized experience as described above - which meet the total experience requirements for this grade level
