Responsibilities

Coordinate FMLA and disability programs in accordance with Federal and State laws as well as company procedures
Serve as the primary point of contact for FMLA questions and eligibility discussions
Educate employees and leaders on FMLA rights and responsibilities while protecting confidential medical information
Monitor open leave cases and maintain consistent communication with employees throughout their leave
Support the return‑to‑work process, including communication with employee leadership teams
Assist with short-term and long-term disability programs; coordinate with the third‑party administrator and ensure timely documentation, eligibility updates, and payroll coordination
Maintain and protect all confidential leave-related files in compliance with HIPAA and internal privacy guidelines
Prepare and send correspondence regarding FMLA exhaustion and provide guidance on additional benefits and possible ADA accommodations
Perform accurate and timely data entry and maintain up-to-date HR system records
Monitor benefit eligibility changes and communicate updates to relevant stakeholders
Manage state disability forms where applicable
Participate in bi‑weekly calls with the benefits team and third‑party administrators to review open and pending leaves
Conduct weekly audits of file feeds, leave status updates, and related payments

Required

Strong working knowledge of FMLA, ADA, and state/local leave laws
Experience with leave administration, short- and long-term disability programs, COBRA, and related regulatory requirements
Exceptional customer service skills with professionalism, tact, and conflict‑resolution ability
High attention to detail and the ability to prioritize multiple tasks and deadlines
Experience with benefit administration systems or carrier portals
Solid understanding of employee benefit coverages and how leave interacts with those benefits
Strong verbal and written communication skills for working with employees, leaders, carriers, and internal teams
Ability to maintain or obtain a state-specific life/health insurance agent's license within three months of hire
Ability to work onsite in the Avant Dallas office at least three days per week, with occasional overnight travel to the client's office
Commitment to complying with Avant and Holmes Murphy privacy policies, HIPAA, and E&O standards
Strong organizational skills and the ability to handle multiple priorities simultaneously
5+ years of experience in leave of absence administration and disability program management in a large, preferably multi-unit, organization

Preferred

Bachelor's degree preferred, or equivalent education and experience
CLMS certification preferred but not required
