Responsibilities
Manage inbound client communications via phone and email with professionalism and responsiveness
Coordinate and schedule client meetings including initial consultations, quarterly reviews, and comprehensive planning sessions
Confirm appointments and distribute meeting preparation materials
Respond to client inquiries within same business day
Maintain warm, professional relationships with high-net-worth clientele
Process new account applications including investment accounts, IRAs, 401(k) rollovers, and trust accounts
Ensure accuracy and completeness of all account documentation
Coordinate with custodians (Schwab, Fidelity, TD Ameritrade, etc.) on account setup and ongoing service needs
Monitor account opening progress and provide proactive status updates to advisory team
Process account maintenance requests including beneficiary updates, address changes, and required minimum distributions
Maintain comprehensive tracking systems for all client correspondence and documentation
Ensure proper documentation and tracking of all outbound client materials
Execute established workflows and standard operating procedures consistently
Utilize checklists and quality control measures to ensure accuracy
Conduct self-review of work prior to advisor or client delivery
Provide proactive status updates on open projects and pending items
Maintain current task documentation in firm CRM (Wealthbox)
Identify and escalate potential issues promptly
Qualification
Required
Exceptional attention to detail with commitment to error-free work
Proactive communication style with ability to provide unsolicited status updates
Self-directed work approach with ability to follow documented processes independently
Professional communication skills in both written and verbal formats
Technical aptitude for learning CRM systems, custodian platforms, and document management tools
Superior organizational capabilities to manage multiple concurrent priorities
2+ years in financial services, wealth management, or comparable high-touch client service environment
Demonstrated experience with account opening procedures (IRAs, brokerage accounts, rollovers)
CRM platform experience (Wealthbox, Salesforce, Redtail, or similar systems)
Preferred
Working knowledge of financial custodian platforms (Schwab, Fidelity, etc.)
