Student Administrative Assistant
Chapman University School of Pharmacy is seeking a Student Administrative Assistant to provide operational and administrative support to the Amgen Oncology Medical Affairs Fellowship Program. The role involves assisting with recruitment activities, candidate communications, and program operations tasks in a fast-paced environment.

Responsibilities
Support the day-to-day operations of the fellowship program
Assist in tracking program timelines and the key milestones for fellows’ training and rotations
Assist with maintaining and updating the program webpage
Schedule and coordinate recruitment events (e.g., information sessions, webinars, showcase activities)
Assist in preparing event materials if needed (agendas, slide decks, handouts, sign-in sheets)
Coordinate and schedule interviews with candidates and interviewers, including calendar management and meeting links/room bookings; track candidate communications (e.g., invitations, confirmations, status updates)
Maintain accurate and up-to-date candidate and interview records
Provide logistical support for fellow-related training and meetings
Assist fellows with travel arrangements in accordance with university policies, and support the processing of fellow reimbursements
Perform other related administrative and operational tasks as assigned to support the successful execution of the fellowship program
Qualification
Required
Strong organizational skills and attention to detail
Excellent written and verbal communication skills
Proficiency with common office tools (e.g., Microsoft Outlook, Word, Excel, PowerPoint; virtual meeting platforms such as Zoom or Microsoft Teams)
Ability to manage multiple priorities and meet deadlines
Professional, proactive, and reliable; maintains confidentiality and exercises sound judgment
Demonstrated ability to work both independently and collaboratively within a team
Preferred
Prior administrative or coordination experience in a professional setting
Background or experience in business management or project management (coursework, certifications, or prior roles)
Experience supporting recruitment or academic trainee programs
Experience working in a healthcare, pharmaceutical, or academic environment is a plus
Strong problem-solving skills and a continuous-improvement mindset
Comfortable interacting with a wide range of stakeholders, including fellows, faculty, clinicians, and program industry partners
