Responsibilities

Schedule appointments and dispatch technicians for service and inspections to maximize productivity
Create and manage work orders, provide status updates to customers, and follow up with technicians
Review work order notes to confirm completion and close out open or pending items
Complete and process contract documentation and quality control paperwork
Schedule subcontractor work and coordinate timelines
Ensure technicians complete all required paperwork accurately and within designated timeframes
Maintain and manage appointment schedules
Order materials and equipment and manage receipt and distribution to technicians
Prepare and complete daily operational reports
Assist with coordinating activities such as scheduling, customer notifications, and equipment procurement
Conduct physical inventory counts and maintain inventory records
Act as a liaison between Sales, Project Managers, subcontractors, and technicians
Perform additional duties as assigned

Required

High school diploma or GED required
Minimum of three years of administrative experience in a sales, service, or operations-based environment
Proficiency in Microsoft Word, Excel, and PowerPoint
Strong organizational, time-management, and decision-making skills
Excellent written and verbal communication abilities
Strong attention to detail with speed and accuracy
Ability to analyze data, solve problems, and escalate issues appropriately
Ability to use discretion and maintain professionalism

Preferred

Working knowledge of ERP systems preferred
Experience with dispatching and scheduling strongly preferred
