Event & Program Coordinator

Friends of Sutro Tunnel is seeking an experienced and passionate Event Program Coordinator to assist in bringing the Historic Sutro Tunnel and Site to life as a premier living history park. This role focuses on creating, enhancing, and managing new tourism experiences aligned with the Destination Plan’s focus on history, heritage, and outdoor recreation.

Responsibilities

Under the supervision of the Director of Tourism, serve as the on-site host during events, tours, and staffed access hours, welcoming visitors and fostering an inclusive, engaging environment for cultural travelers, road-trippers, families, and visitors of all ages
Assist in managing site access during staffed hours, self-guided tours, and special events
Ensure ADA compliance with walkways, restrooms, and mobility aids (e.g., rail system, electric mules)
Assist with the implementation of cultural programming that may include docent-led tours, mule-drawn cart rides, lectures on the diversity of Comstock workers, historical reenactments, and craftsman classes in the Wood Shop
Assist in planning and executing tourism-focused events; examples include concerts, festivals, lectures, screenings, weddings, & other site rentals, on-site fundraisers, and educational programs; assist with timelines, permits, vendor coordination, and logistics
Support on-site event operations, including setup, visitor flow, safety coordination, and breakdown
Work with the Director of Tourism to collaborate with partners to host joint events annually by FY28
Help to enhance the Machine Shop Museum by expanding displays and collaborating with local museums to host traveling exhibits
Serve as an interpreter to deepen visitors’ understanding of Adolph Sutro’s tunnel operations and Comstock history
Develop storytelling experiences (e.g., AR tour app content) highlighting diverse histories, including the Chinese rock wall along Sutro Road
Support promotion of events and experiences across social media
Assist in building and maintaining a consistent destination brand voice and visual identity
List events on regional tourism calendars, partner platforms, and travel websites
Other duties may be assigned
Assist the Director of Tourism in establishing and managing a volunteer program supporting all operations and upkeep of the Sutro Tunnel historic site
Assist with daily site operations and support volunteers
Assist the Director in managing relationships with a community support network, including local businesses, schools, nonprofits, and historical societies in Dayton, Virginia City, and the surrounding areas
Help promote events and develop youth-focused programs for the 16–35 demographic (e.g., history courses, outdoor recreation activities)
Assist with community engagement activities, including picnics at the Pond, to help connect with local residents
Implement visitor tracking systems (e.g., ticket sales data, surveys) to monitor satisfaction (target: 90% by FY30) and demographics
Manage the Carriage House merchandise shop, featuring historical books and site-themed souvenirs, to generate revenue

Required

Experience in tourism or event services. Preferred experience includes assisting with tours, supporting events (e.g., festivals or fundraisers), and contributing to the development of history-related programming
Experience in visitor tracking, merchandise sales, and managing diverse volunteer teams
Strong organizational, technical, and communication skills
Social media experience
Ability to work flexible hours, including evenings and weekends
Valid driver's license and reliable transportation

Preferred

Familiarity with the Sutro Tunnel and a passion for the project
Experience creating short-form video content for social media
Canva or basic graphic design experience
Tech-savvy in multiple applications
Familiarity with nonprofit or grant-funded projects
Experience working with volunteers
