Recorder Graduate Studies (Student Services Generalist)

Responsibilities
Processes and maintains graduate student academic records on behalf of the Luddy Graduate Studies Office
Interprets and explains university and governmental policies and procedures related to official student records
Collaborates with the Office of the Registrar to ensure CART requests are submitted and processed accurately and in a timely manner
Maintains SIS (Student Information System) program and plan stacks to ensure accuracy and compliance
Advises and supports graduate advising team members on procedures related to program and plan stack maintenance
Reviews and approves grade change requests in accordance with university policy
Analyzes and reconciles data related to student records, course enrollment, final grades, degree progress, and degree conferral
Generates, analyzes, and shares enrollment reports using IUIE and other institutional reporting tools
Manages eDrop/Add requests and other current-term enrollment actions, ensuring policy compliance
Tracks and reports issues related to under- and over-enrollment of Student Academic Appointments (SAAs)
Assists with the development and implementation of training and documentation to reduce exception requests
Works collaboratively with the Luddy Graduate Studies Office team to develop and refine processes that ensure compliance across enrollment, registration, grading, records, and grade appeals
Supports special projects in coordination with leadership that advance Luddy's academic and operational goals
Participates in relevant campus workshops and meetings, including those hosted by the Office of International Services, the Registrar, Recorder groups, Stellic, and IUIE
Builds and maintains professional relationships to support shared learning, best practices, and access to institutional resources
Performs other duties as assigned in support of graduate student services and team operations
Develops and implements programs and initiatives that touch on various/multiple student-related goals, such as enhancing and reinforcing academic engagement and experiential learning; increasing student engagement, wellness, and involvement; fostering learning, inclusion, and development; supporting students in crisis and adversity; and improving the student campus experience
Interfaces directly with students by attending student programming events, advising student organization leaders, meeting 1-on-1 to discuss areas of concern on campus, and gathering satisfaction feedback from student participants to implement into future student services initiatives and objectives
Collaborates with staff in own department and other departments, as well as academic and campus leaders, on shared student services goals, often coordinating funding to sponsor student programs and initiatives
Projects outcomes for services offered at the program, department/division, or campus level. Measures and evaluates effectiveness of student services against projected outcomes; regularly prepares reports on impact to students and budget and may present to stakeholders on effectiveness and to secure funding for initiatives moving forward
Serves on committees and performs student services research across the field of higher education and at peer institutions to identify and recommend best practices
Plans and coordinates communications for student services initiatives to ensure student participation and engagement
May provide guidance to other student services staff; makes process recommendations to manager for improved delivery of service
Qualification
Required
Bachelor's degree in higher education student affairs, public affairs, counseling, social work, education, business, or related field
2 years in student services, higher education, or related field
Proficient communication skills
Maintains a high degree of professionalism
Demonstrates time management and priority setting skills
Demonstrates a high commitment to quality
Possesses flexibility to work in a fast paced, dynamic environment
Seeks to acquire knowledge in area of specialty
Highly thorough and dependable

Ability to build strong partnerships with students and other university departments
Preferred
Master's degree in related field
Experience working with a wide diversity of individuals
Demonstrates a high level of organizational skills, attention to detail, and tact and diplomacy
Familiarity with Indiana University student records and services or similar customer services environments
Ability to interpret complex confidential information and to provide guidance consistent with the Family Educational Rights and Privacy Act or other state or federal regulations
