Responsibilities

Answers telephone promptly; preferably by the third ring. Ensure calls are identified and properly categorized in order to forward to appropriate area within office timely and efficiently
Demonstrates proper telephone etiquette when receiving, transferring, and placing calls on hold. Hold times are to be kept to a minimum
Repeats key information when writing down messages to ensure accuracy
Accurately enters patient demographics information and insurance data in the computer as documented
Verifies insurance information, collect referrals and authorizations, and/or other forms as documented
Efficiently schedules appointments, recording them as documented and following practice policy
Ensures that authorizations are obtained prior to scheduling procedures/testing
Consistently demonstrates a clear understanding of departmental needs and job functions as assigned by department Manager and/or immediate supervisor
Demonstrates flexibility as well as ability to perform multiple functions within the practice to increase departmental efficiency
Notify supervisor of any problems pertaining to processing the patients for upcoming testing/procedures
Manage the efficiency of OR/GI utilization
Monitoring surgery schedules for assigned surgical department to ensure case goals are met
Monitor surgeon department time off to ensure adequate coverage and assigning department surgeons to utilize available time for efficient OR utilization or giving OR/GI time to other Physician Practices Surgical departments. Send an email to OR team for communication in advance
Assist in rescheduling or moving patients to sooner available surgical time if last minute cancellations occur
Weekly meetings with surgical departments as assigned to discuss surgical cases currently scheduled and the opportunity to add more cases to met goals
Review OR & GI utilization dashboard by surgical department as assigned and make recommendations for efficient utilization
