Administrative Support Specialist

NorthStar Energy Services is a company that provides engineering, design, procurement, construction and support services to various industries. They are seeking an experienced Administrative Support Specialist to provide advanced administrative, reporting, and document control support for active construction projects, ensuring effective coordination between internal teams, subcontractors, and vendors.

Responsibilities

Collect, review, and consolidate daily, weekly, and monthly field reports from Construction Managers, Superintendents, and field personnel across active project sites
Prepare contractor-side progress reports for internal leadership review and client submittal, including manpower, progress tracking, and milestone status
Coordinate with the project Scheduler to obtain S-curves and look-ahead schedules (three-week and one-month) for inclusion in progress reporting
Support reporting related to subcontractor productivity, field progress, and schedule impacts
Maintain IFC (Issued for Construction) drawings within Bluebeam, ensuring proper revision control and distribution to field teams
Collect, organize, and manage subcontractor and field as-built documentation, redlines, and Management of Change (MOC) records
Coordinate with Quality Control, project engineers, and field supervision to ensure construction documentation is complete, accurate, and audit-ready
Support documentation readiness for owner reviews, audits, turnover, and project closeout activities
Track and process contractor submittals through document control systems, including routing, tracking, and status updates
Maintain accurate RFI and submittal logs aligned with construction schedules and subcontractor sequencing
Track response timelines and follow up with internal teams, designers, vendors, and subcontractors to prevent construction delays
Coordinate communication between project management and field teams regarding approved submittals and released-for-construction documents

Required

High school diploma or equivalent; associate degree or coursework in construction management, business administration, or related field, preferred
3+ years of experience supporting construction projects from the contractor or EPC side in an administrative, document control, or project support role
Strong understanding of construction documentation workflows, including IFC drawings, RFIs, submittals, as-built records, and change documentation
Advanced proficiency with Bluebeam and construction document management platforms
High proficiency with Microsoft Office, particularly Excel and Word, for reporting, tracking, and data organization
Ability to manage competing priorities and deadlines in an active construction environment with minimal supervision
Strong communication and coordination skills with the ability to work effectively with project managers, field supervision, schedulers, subcontractors, and QC teams

Preferred

Experience supporting large-scale industrial, energy, or infrastructure construction projects
