Client Executive Assistant

Responsibilities

Report to and provide counsel for a Navy executive/senior level manager O-6/GS-15
Oversee and manage the daily functional operation of a complex NAVSEA program organization
Lead and direct the work of others, including clerical, administrative, logistical support, and information technology personnel. Be familiar with a variety of the program office’s technical efforts, internal practices and procedures, and both internal and external stakeholders. You will apply a professionally accumulated body of knowledge to develop and oversee tasks and projects
Facilitate development, implementation, and revision of work procedures and standards with key stakeholders across multiple organizations to improve efficiency and effectiveness of assigned operations
Rely on experience and judgment to plan and accomplish goals. Execute work with minimal supervision by your principal. A significant degree of creativity and latitude is required
Ensure compliance of program office personnel with established program office standards
Office Management. Organize and manage office operations and procedures, including scheduling, correspondence, filing, developing policy, and data entry to ensure efficient day-to-day operations
Document Preparation. Prepare, proofread, and edit documents, presentations, and reports to support business processes and project objectives
Meeting Coordination. Schedule and coordinate meetings, including preparing agendas, taking minutes, and tracking action items to ensure effective communication and follow-up
Travel and Expense Management. Arrange travel logistics and process travel expense reports, ensuring adherence to company policies and procedures
Communication Support. Act as a point of contact for internal and external communications, including handling inquiries, directing calls, and distributing correspondence
Project Assistance. Provide administrative support to various projects, including maintaining project documentation, tracking progress, and assisting with project-related tasks as needed
Record Keeping. Maintain accurate records and databases, ensuring data integrity and confidentiality, in compliance with company policies and government regulations
Supply Management. Manage office supplies inventory, ensuring the availability of necessary materials and placing orders as needed

Required

Ability to obtain a Secret clearance
A Bachelor's Degree (experience in lieu of degree)
5+ years' experience in a government or defense-related environment
2+ years of supervisory experience in an office setting
Excellent written and oral communications skills
Strong organizational, communication, and multitasking skills with the ability to prioritize tasks and work under deadlines
Ability to work independently, make independent decisions, and be part of a cohesive team
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software
Demonstrate the ability to interact with senior management on complex technical issues
Ability to work both in a team environment and independently, and often under short, multiple deadlines
Ability to be a team player, work well with others and contribute positively to work/team environment while continually seeking ways to enhance contribution to the team
Reporting to work at the Navy Yard 5 days a week except for government holidays is expected with occasional exceptions

Preferred

Experience working in submarine community as a senior enlisted, such as a Senior or Master Chief
Experience as an executive assistant preferably supporting an SES or flag officer within the NAVSEA front office environment
Active NMCI/Flankspeed account and CAC (Common Access Card) are a plus
Work experience in the Navy and specifically within Team Submarine or submarines in general
Desired knowledge of DoD policies, NAVSEASYSCOM/Team Submarine policies and procedures
Desired active NNPI account and CAC
Desired: 10 or more years of experience with Navy acquisition and Submarine Programs
Desired: Experience leading a project and interfacing with an end item customer
Desired: Knowledge of Program Management, including the acquisition process, the budgeting process and Navy program execution
Active-Duty Experience in the submarine or yeoman service preferred
Recent experience in Team Submarine would be ideal
Preferred Experience in supporting Navy or DoD-related programs are a plus
Preferred Familiarity with government contracting processes
Preferred Knowledge of document management systems
