Departmental Assistant - UHS Finance

University of Massachusetts Amherst is seeking a Departmental Assistant for the UHS Finance department. The role involves providing support in procurement, accounts payable, and financial analysis, including preparing expenditure transactions and reconciling financial records.

Responsibilities

Prepares and processes all expenditure transactions using Buyways, Peoplesoft, Summitt, and Concur, ensuring that all transactions are processed in accordance with the regulations, policies and procedures established by the University of Massachusetts, as well as the University Health Services
Reconciles financial records and transactions with appropriate vendor statements to verify accuracy of disbursements and to assist in the oversight of fund balances. Corresponds with the vendor community in order to resolve any discrepancies
Prepares necessary reports and analyses for projecting and monitoring expenditure activity related to the budgetary objectives and parameters established in the respective spending plans
Reviews employee reimbursements data entry by reviewing for calculations, signatures and receipts attached as needed
Provides technical assistance to UHS employees, vendors, contractors, and the general public to ensure compliance with applicable policies and procedures governing the disbursement of funds
Maintains file systems for all transactions, including the packaging of documents on the H drive at University Health Services
Performs other duties as assigned

Required

At least (A) one year of full-time, or equivalent part-time, professional experience in accounting or auditing, or (B) two years of full-time, or equivalent part-time, paraprofessional experience in accounting or auditing
An Associate's or higher degree with a major in accounting, business administration or business management may be substituted for the required (A) experience
Ability to analyze and determine the applicability of accounting data, to draw conclusions and to make appropriate recommendations
Capacity to read and interpret documents such as financial reports, accounts and ledgers
General understanding and ability to explain and apply the laws, rules, regulations, policies, procedures, specifications, standards, and guidelines governing assigned unit activities
Talent in exercising sound judgement and discretion in handling confidential information; ability to maintain accurate records
Capability to establish rapport and maintain harmonious working relationships with others
Ability to work independently and in a team setting

Preferred

Understanding of BuyWays, PeopleSoft, and the regulations of the University of Massachusetts and University Health Services
