Office Manager/TH Staff Associate
The State University of New York College of Optometry is seeking a talented and motivated Office Manager/TH Staff Associate to support the Office of Clinical Affairs. This role involves overseeing office staff, providing administrative support to senior management, and ensuring the smooth execution of office workflows and events.

Responsibilities
Provide administrative support to the Office of the Vice President for Clinical Affairs and ensure the smooth and timely execution of office workflow, events, and high-level customer service
Direct supervision of office staff and work-study students
Assist with recruitment efforts of civil service and non-teaching professional employees
Provide administrative support and assistance to the Chief Medical Officer, Director of Clinical Operations and Director of Patient Financial Services, including the managing of calendars, handling correspondence and maintaining confidential files and records
Organizes and maintains required documents for DOH surveys, audits, compliance-related documentation, business associate agreements and contracts
Plans and coordinates meetings, projects and events for the Office of Clinical Affairs
Prepare and distribute meeting agendas, minutes and other relevant materials
Act as a general resource for UEC departments and clinical services, researching and preparing cost estimates, completing purchase requisitions, processing invoices and reimbursements, and other similar activities
Assist in the development of policies and the annual review of the UEC Policy and Procedure Manual
Provide support for budget preparation, expenditure tracking and resource management with high level of detail orientation
Collaborate with other administrative and clinical staff to ensure smooth operation and effective communication within the office and between departments
Manage and maintain accurate records and databases, both digitally and on paper
Coordinates and organizes resources to support UEC strategic priorities and serves as a liaison to other departments within the College of Optometry
Manages employee-related attendance and scheduling, along with the administrative team, of the University Eye Center
Support new hire onboarding logistics, documentation, system access, scheduling and first-day readiness
Assist in any administrative duties related to grants to effectively implement funded projects, as appropriate
Maintain a professional demeanor and utmost discretion when handling sensitive information
Other duties as assigned
Qualification
Required
Bachelor's degree or equivalent combination of education and relevant experience
Advanced Proficiency in Microsoft 365 Office Suite (Word, Excel, PowerPoint, Outlook, SharePoint)
Previous experience in an administrative/management role within healthcare or higher education is desirable
Demonstrated experience in managing projects from development through to implementation
Previous experience in a high volume, fast paced environment
Ability to maintain confidentiality and handle sensitive information with discretion
Ability to anticipate, assess and proactively troubleshoot challenges that may arise
Ability to problem-solve and take initiative
Strong written and verbal communication skills
Ability to work independently and collaboratively in a team environment
Computer-literate a strong aptitude for learning new systems, software, and digital tools quickly
Detail-oriented
Ability to use independent judgement
Excellent organizational and time management skills
Able to handle multiple projects at any time
Aptitude to quickly learn new software and systems
Preferred
Experience with grant administration and management is not required, but preferred
