Coordinator, Land Production

The Coordinator, Land Production supports the Land Production Operations team by managing administrative, logistical, and operational needs of land-based entertainment productions.

Responsibilities
Assist Sr. Director Production Operation, Land with administrative duties for logistics and programming
Oversees the payroll process for Seasonal Employees (Daily Jibble review and editing, collecting and performing all edits from the Jibble Adjustment Form, keeping track of Housing Deposits, Travel Stipends, Bonuses, and submits timesheets for processing) Be supportive of Raise Your Experience initiatives throughout the season
Updates and creates new templates and documents for the Land Production Department (Handbooks, Orientation, etc.)
Keeps track of all invoices and their coding and classification, submission to Finance
Code reimbursement requests and their submission
Cast communications such as Intro Letters and collection of contact and travel information and data
Manage performer and labor logistics for the production process as well as ongoing operations of the experience
Handles all Worker’s Comp and Accident Report communications and submissions
Assist team with general research and travel requests
Additional tasks such as creating Welcome Letters, leading Orientations for Production Managers
Coordinate Shipping
Contract addendums and contracting/onboarding
Attend meetings and create and distribute meeting notes and agendas
Review and Action Daily Operational Reports and collaborate with RWS Production Manager(s) on action items to be taken
Complete all duties to the satisfaction of the Company
Follow the Company chain of command
Follow all given RWS and Client infectious disease control and safety protocols as may be necessary
Adhere to all RWS Handbook guidelines and travel guidelines, including dress codes and codes of conduct
Site visits may be asked
Required to be a highly motivated, self starter
Other duties as needed
Qualification
Required
Degree in Arts Administration, Production, Film, Media, Sports, Communications, or a related field; equivalent professional experience considered
Expert communication skills
Highly motivated self-starter with the ability to manage multiple priorities in a fast-paced production environment
Strong organizational and administrative skills with exceptional attention to detail
Strong communication skills for coordinating cast, crew, and production correspondence
Proficiency in software and tools, such as Wrike, Microsoft Project, or equivalent
Flexibility to work evenings, weekends, and holidays as required
Flexibility to travel if necessary
