Administrative / Payroll Assistant

Express Employment Professionals is seeking a proactive and detail-oriented Administrative / Payroll Assistant to join their dynamic team. In this vital role, you will support payroll processing, financial record-keeping, and human resources functions to ensure smooth operational workflows.

Responsibilities

Process payroll using systems such as Workday, ADP, Paychex, or UltiPro, ensuring timely and accurate compensation for all employees
Manage data entry for payroll transactions, benefits administration, and employee records within HRIS platforms like Kronos or PeopleSoft
Reconcile accounts related to payroll, benefits, and general ledger entries to maintain financial accuracy
Assist with accounts payable and receivable functions, including invoice processing and expense tracking using QuickBooks or similar accounting software
Support compliance with tax regulations through accurate tax filings and reporting based on payroll data
Prepare journal entries for payroll-related transactions and perform general ledger reconciliation tasks
Contribute to non-profit or governmental accounting processes as needed, ensuring adherence to specific financial standards
Collaborate with human resources on benefits administration, employee onboarding, and record updates
Conduct analysis of payroll data to identify discrepancies or errors and implement corrective actions
Maintain meticulous records of all payroll activities, audits, and account reconciliations

Required

Proven experience with payroll management systems such as Workday, ADP, Paychex or UltiPro is essential
Strong knowledge of accounting principles including double entry bookkeeping, debits & credits, journal entries, and general ledger reconciliation
Familiarity with financial concepts related to corporate accounting, governmental accounting, or non-profit accounting environments
Proficiency in accounting software like QuickBooks along with data entry skills (including 10 key typing)
Experience with HRIS platforms such as Kronos or PeopleSoft for benefits administration and employee data management
Understanding of tax regulations related to payroll processing and reporting requirements
Ability to analyze financial data accurately and perform account reconciliation efficiently
Excellent organizational skills with attention to detail in bookkeeping and record-keeping tasks
Strong communication skills to collaborate effectively across departments in a fast-paced environment
