Administrative Assistant, Specialist

Naval Nuclear Laboratory is an organization dedicated to ensuring the safety and reliability of the nation's naval nuclear reactors. They are seeking an Administrative Assistant, Specialist to provide financial services with administrative support to nonexecutive management and employees, particularly in the Accounting Services and Business Systems subdivisions.

Responsibilities

Receives, screens and directs incoming calls, visitors, and email
Uses business software applications to prepare correspondence, reports, presentations, agendas, and minutes. Responsible for providing administrative services to the organization, such as: maintaining files and records, arranging business travel, coordinating meeting arrangements and office moves, handling mail and ordering needed office supplies or equipment
Leads complex administrative programs, projects, and processes and participates in special projects, as needed
Management of the Enterprise Commitment System commitments for the directorate
Administrative oversight of various directorate manuals, guides, instructions, and policies
Administration of various directorate SharePoint sites
Supports executive administrative assistants as backup, when needed

Required

High school diploma or equivalent and a minimum of 7 years of relevant experience or
Associate degree in a related field from an accredited college or university and a minimum of 5 years of relevant experience or
Bachelor degree in a related field from an accredited college or university and a minimum of 3 years of relevant experience

Preferred

Experience with the Microsoft Office Suite (Word, Excel, PowerPoint, SharePoint, Outlook, PowerApps)
Experience with scheduling and managing calendars
Experience with developing or maintaining SharePoint pages
Demonstrated willingness to learn new tools and develop new skills
Demonstrated excellence in quality of work for documents and executing processes
Solid organizational skills
Effective written and verbal communication skills
Experience with procurement related tasks and financial tracking
Experience with setting up, coordinating, and managing travel for personnel
Experience processing expense reports
Demonstrated teaming behaviors and collaboration skills
