Responsibilities
Own calendars, scheduling, reminders, and logistics across personal, family, and professional domains
Act as a “mini chief of staff” for life: tracking goals, projects, and follow-ups; providing check-ins and accountability
Prepare notes and context for appointments and meetings; ensure action items are captured and completed
Organize and maintain highly findable digital and physical records (medical, personal, family, travel, etc.)
Plan and manage domestic and international travel, including detailed itineraries and logistics
Build and maintain living databases (family info, gift ideas, date nights, travel ideas, vendors, workflows)
Coordinate with vendors, service providers, and external stakeholders
Proactively identify overload, conflicts, or gaps and raise them early with sound judgment and discretion
Document processes so tasks never get lost and delegation improves over time
Qualification
Required
5+ years' experience as a Personal Assistant, Executive Assistant, Chief of Staff, or similar senior support role
Exceptional organizational skills with a 'never repeat yourself' mindset
Strong systems thinker with comfort using tools like Google Workspace, Notion/Airtable/ClickUp, and emerging AI tools
Emotionally intelligent, confident enough to push back when needed, and calm under ambiguity
Highly discreet, trustworthy, and professional
Flexible to occasional evening/weekend needs
