Office Manager/Intake - Miami, FL

They are seeking a driven, organized, and detail-oriented Office Manager / Intake to oversee daily office operations, manage patient intake, and ensure operational efficiency as they expand into the Brevard market.

Responsibilities
Manage daily office operations, scheduling, supplies, and administrative workflows
Serve as a primary point of contact for internal staff, patients, and referral partners
Maintain organized employee and patient records in compliance with HIPAA and company policies
Support payroll coordination, timesheets, and basic HR administrative functions
Ensure clear and efficient communication between clinical, administrative, and leadership teams
Manage patient intake processes, including referral intake, data entry, and documentation accuracy
Verify insurance coverage, authorizations, and eligibility in a timely manner
Coordinate start-of-care scheduling with clinical leadership and field staff
Track referral pipelines, pending items, and admission timelines
Communicate effectively with patients, families, clinicians, and referral sources to ensure smooth transitions of care
Monitor documentation completeness and follow up on missing or delayed items
Assist with maintaining compliance with state regulations, Medicare Conditions of Participation, and company policies
Maintain accurate patient and intake documentation for audits and surveys
Track licenses, credentials, training requirements, and employee files as needed
Ensure timely and accurate completion of required intake and operational documentation
Help establish scalable intake and operational processes as the Brevard market grows
Support onboarding of new hires and office workflow development
Assist with community outreach, referral relationships, and operational growth initiatives as needed
Identify opportunities to improve efficiency, systems, patient experience, and service quality
Qualification
Required
Prior experience in healthcare office administration, intake, scheduling, or medical office operations
Strong organizational skills and attention to detail
Excellent communication and customer service skills
Ability to multitask in a fast-paced, growth-oriented environment
Proficiency with Microsoft Office and healthcare software systems
Preferred
Home health or healthcare experience
Knowledge of insurance verification, authorizations, and EMR systems
