Responsibilities
Manage the end-to-end onboarding and subscription process for investors across alternative investment products
Track, reconcile, and report investor capital activity to internal teams
Partner with service providers and sales teams to resolve subscription questions and documentation issues
Review subscription calculations, including valuations, commissions, and tax-related measures
Develop and distribute communications to subscribers, intermediaries, and internal stakeholders
Review and process incoming subscription documents through proprietary closing platforms
Validate and reconcile data captured via OCR and electronic workflows
Investigate discrepancies and ensure accurate conversion of source documents into system records
Lead and monitor offshore teams and third-party vendors supporting subscription operations
Manage the relationship with the Shareholder Portal provider and drive continuous improvement
Identify opportunities to enhance workflows, automation, and operational efficiency
Collaborate with transfer agents, fund administrators, and accounting partners to support investor services activities
Perform reconciliations and monitoring to ensure data accuracy and regulatory compliance
Maintain and strengthen policies, procedures, and internal control frameworks
Support documentation and rollout of processes for new investment products
Act as an operational liaison to Wealth Strategies, Equity, and other internal business units
Support onboarding of sub-agents and respond to shareholder and placement agent inquiries
Serve as a subject matter resource for investor services operations
Qualification
Required
Bachelor's degree in Accounting, Finance, or Business Administration
5–8 years of relevant financial services or investment operations experience
Proven ability to manage complex operational processes with attention to detail
Strong communication, organizational, and problem-solving skills
Ability to adapt quickly in a fast-paced environment
Self-directed, collaborative team player
Advanced proficiency in Microsoft Outlook
