Legal Administrative Assistant

The role involves providing high-level administrative support to attorneys, managing schedules, and assisting with legal document preparation and filing.

Responsibilities

Provide high-level administrative support to attorneys in the Labor and Employment practice group
Draft and edit correspondence, pleadings, motions, and employment-related legal documents
Manage scheduling, calendar coordination, and meeting preparation, including hearings, depositions, and mediations
Assist with preparation and filing of documents with courts and administrative agencies, including state and federal courts, the EEOC, DOL, and other labor agencies
Open, maintain, and close client files in both physical and digital formats in accordance with firm procedures
Conduct conflict checks and support new matter intake processes
Track deadlines for filings, responses, hearings, and compliance-related milestones
Assist with discovery support, including organizing exhibits, maintaining document production files, and coordinating filings
Communicate professionally with clients, opposing counsel, courts, and administrative agencies
Maintain confidentiality of all client and firm information at all times
Manage billing processes for assigned attorneys, including time entry, editing prebills, and handling expense reports
Coordinate with other departments and administrative staff to ensure smooth workflow and case support

Required

Experience supporting labor and employment attorneys
Strong understanding of employment litigation, administrative proceedings, and workplace compliance matters

Ability to handle confidential information with discretion and professionalism
Proficiency in Microsoft Office Suite (Word, Outlook, Excel) and legal practice management or document management software
3+ years of legal administrative experience, ideally supporting labor and employment or litigation-focused practices

Preferred

Bachelor's degree
Experience with legal billing and timekeeping systems
Familiarity with court filings and administrative agency procedures
