Practice Manager

The Practice Manager is responsible for the overall operational excellence of the Prospect clinic, ensuring coordination across departments and enhancing patient experience through effective leadership and oversight.

Responsibilities
Oversee daily operations of the entire clinic, ensuring all departments function cohesively and efficiently
Ensure optimal patient flow and clinic efficiency by coordinating front desk, scheduling, and clinical activities
Maintain compliance with healthcare regulations, HIPAA, and company policies
Develop, implement, and refine workflows to improve operational effectiveness and patient satisfaction
Responsible for handling cash, checks, and bank deposits
Lead, mentor, and manage administrative and clinical staff including front desk personnel, technicians, and support staff
Foster a collaborative and accountable culture that promotes staff engagement and professional growth
Assist with budgeting, forecasting, and financial reporting for the clinic
Monitor and manage key performance indicators (KPIs), including patient access, appointment utilization, billing efficiency, and staff productivity
Work closely with billing and revenue cycle teams to ensure timely and accurate claims submission and collections
Ensure a high standard of patient service from check-in to check-out
Address and resolve patient complaints or concerns in a timely and professional manner
Collaborate with clinical leadership to enhance patient-centered care and quality outcomes
Supervise and optimize provider and staff schedules to meet patient demand and maximize efficiency
Ensure appropriate staffing levels based on volume and provider schedules
Oversee use of practice management systems, EHRs, and other digital tools
Ensure compliance with all applicable laws, regulations, and accreditation standards
Qualification
Required
Bachelor's degree in healthcare administration, business management, or a related field
Minimum 3+ years of healthcare experience, preferably in an ophthalmology or multi-speciality medical practice
Proven leadership ability across multi operational areas in a healthcare setting
Strong knowledge of medical office operations, clinical workflows, and patient services
Excellent communication, organizational, and problem-solving skills
Proficient in EHR systems and Microsoft Office
