Finance & Membership Administrator

The Southeastern Virginia Chapter Community Associations Institute (SEVA-CAI) is a nonprofit organization that serves as a resource for community associations. The Finance & Membership Administrator will oversee financial management and membership administration, ensuring smooth operations and member engagement.

Non-profit Organizations

Responsibilities

Oversee the Chapter’s membership database, including maintaining up-to-date membership information
Work to retain current Chapter members via monthly membership renewal outreach
Serve as Staff liaison to Membership Committee
Onboard new members
Oversee Chapter Annual Sponsorship Program
Oversee the collection of program registration fees; preparation of registration lists; preparation of name badges, announcements and agendas for chapter events
Develop a draft budget to present to the Budget and Finance Committee for review and consideration. Modify draft budget to reflect Budget and Finance Committee input, and present to the Board of Directors for final review and approval. Assist throughout the budgeting process
Monitor income and expenses in relation to the Chapter’s budget and provide monthly financial reports and statements to the Board of Directors for review
Prepare all accounts receivable and payable; generate checks for signature; prepare deposits and code to each event/activity; invoice members as necessary; follow up on unpaid accounts
Solicit, collect, and coordinate program sponsorships, directory and magazine advertisement fees and copy
Oversee the various financial/bank accounts of the Chapter and coordinate closely with the Board Treasurer regarding subject transactions. Oversee all Accounts Receivable (AR) and Accounts Payable (AP) accounts
Carry out other responsibilities as may be delegated by the Board of Directors
Assist Chapter Executive Director on various administrative tasks as needed which may include but not be limited to; update of chapter website and/or social media accounts, provide support for chapter signature events (CA Day, Golf Classic and annual meeting) and general member support

Required

5 (five) or more years of bookkeeping experience
Proficiency in MS Office (Word, Excel, PowerPoint, Outlook, Teams etc.) and QuickBooks is a must
Strong organizational skills, ability to work on multiple overlapping projects, meet deadlines and exhibit continuous attention to detail
Understanding of, and commitment to, the contribution of volunteers, working with volunteer committees, accepting ideas, and maintaining delineation of staff and volunteer roles
Excellent customer service skills
Physical ability to move moderately heavy boxes and materials
Travel to and from offsite meetings and events
Availability of own transportation for work use
Ability and willingness to work evenings and weekends, as required

Preferred

Experience in working with Membership databases, websites and Social Media platforms
