Office Manager/Bookkeeper

Kentucky American Seeds LLC is a leading retailer and agronomic advisor to the agriculture community, and they are seeking an Office Manager/Bookkeeper. This role is responsible for managing daily administrative and financial operations, ensuring accurate accounting, and maintaining strong customer and vendor relationships.

Responsibilities

Maintain accurate financial records, including general ledger, accounts payable, and accounts receivable
Process customer invoicing and payments
Reconcile third party payment accounts, vendor statements and regular monthly invoices
Assist payroll with expense reimbursement for sales and support staff
Assist H.R. with onboarding new employees
Maintain documentation for audits
Track inventory costs and coordinate with operations on inventory adjustments
Oversee daily office operations and workflow
Maintain organized filing systems (digital and paper)
Manage office supplies, equipment, and cleanliness
Answer phones, assist customers, and route inquiries appropriately
Support management with reports, scheduling, and correspondence
Process sales tickets, scale tickets, and delivery documentation
Maintain customer accounts and pricing structures
Coordinate with sales and operations staff on billing accuracy
Assist with seasonal workload fluctuations (planting, harvest, chemical and fertilizer seasons)
Understand ag products, services, and seasonal cycles to support operations
Ensure compliance with state and federal regulations (sales tax, payroll, ag-related reporting)
Maintain accurate records for audits, DOT, EPA, or other regulatory requirements as needed
Protect confidential financial and customer information

Required

Associate's or Bachelor's degree in Accounting, Business Administration, or related field preferred
3+ years of bookkeeping or office management experience (agriculture or retail experience preferred)
Strong understanding of accounting principles and financial reporting
Advanced skills in Microsoft Excel and office software
Excellent organizational, time management, and communication skills
Ability to work independently and manage multiple priorities, especially during peak seasons

Preferred

Experience in agricultural retail, grain, seed, fertilizer, or chemical operations
Knowledge of inventory management and job costing
Familiarity with ag-specific billing, rebates, and vendor programs
