Responsibilities
Act as a trusted partner to the CEO—driving organization, execution, and follow‑through
Manage a high‑volume inbox: prioritize, draft responses, and ensure critical items move forward
Track commitments, decisions, and next actions so nothing falls through the cracks
Prepare summaries, reports, and updates to support fast decision‑making
Assist the Quotations team with new leads, ensuring clean intake, tracking, and follow‑up
Help keep sales opportunities moving to be awarded new business
Maintain visibility into active projects, priorities, and deadlines
Support task management across teams and flag risks early
Improve workflows and communication as the business scales
Manage the CEO’s calendar, meetings, travel, and daily priorities
Send real‑time reminders to keep the day running smoothly
Represent the CEO professionally in written and verbal communications
Qualification
Required
Onsite: Commutable to Kearny Mesa, San Diego; in-office Monday–Friday
Proven experience supporting a senior executive or founder
Excellent written and verbal communication skills
Strong organizational and task-management abilities
Comfort managing multiple priorities in a fast‑moving environment
Preferred

Communicates exceptionally well—especially in writing
Embraces feedback and continuous improvement
Uses technology (including Microsoft Copilot and M365 tools) to work smarter
