The Accounts Payable Specialist is responsible for assisting with the overall general accounting function, ensuring accurate compilation and reporting of accounting data while acting as a liaison between the company, customers, and suppliers.

Responsibilities
Oversee basic Accounting procedures (A/P and G/L)
Provide clean, timely AP data to support budgeting and forecasting
Perform high-volume, accurate entry of vendor invoices and daily financial transactions
Match invoices to purchase orders, contracts, and receiving documentation
Reconcile vendor statements and resolve any discrepancies
Communicate with vendors regarding payment inquiries or issues
Understand end-to-end operational workflows (production, receiving, fulfillment, logistics) and how they translate into purchasing, invoicing, and AP transactions
Ensure all payments are approved according to internal authorization and budget controls
Review, verify, and process employee expense reports for accuracy and compliance with company policies
Improve AP processes through automation, standardization, and documentation
Support ERP / AP platform optimization (Ramp, NetSuite, Acumatica, etc.)
Assist the implementation of automation and AI tools
Maintain vendor master records and W-9/1099 compliance documentation
Assist with financial statement preparation and month-end and quarterly closing
Assist with 1099 preparation and year-end reporting
Maintain current and accurate accounting records
Perform other duties as assigned
Qualification
Required
Associate's degree in Accounting, Finance, or Business-related field preferred
Exceptional organization and time management skills
Ability to work independently and multitask efficiently
Conversational to fluent in Spanish
High attention to detail, ability to take directions, self-check, and follow up on work
Able to enter accurate financial/numerical data
Analytical and critical problem-solving skills
NetSuite experience required
Basic knowledge of MS Excel and Google Sheets
Basic to intermediate computer and typing skills
Ability to maintain confidentiality and integrity
