Administrative Coordinator, Campus Services

Responsibilities
Manage and carry out day-to-day departmental administrative operations in support of departmental goals
Serve as the primary administrative and reception point of contact for the department, including answering phones, greeting visitors, managing calendars, coordinating meetings, screening correspondence, and handling routine office logistics such as copying and supply ordering
Prepare, process, coordinate, and monitor administrative, operational, and financial forms, records, schedules, and documentation, ensuring accuracy, completeness, and timely submission by students, faculty, staff, and external parties
Organize, maintain, and update departmental records and files in both electronic and manual systems, including databases, logs, and cross-referenced filing systems
Develop, maintain, and utilize computerized record-keeping and data management systems; enter and update data and generate routine and ad hoc reports using standard PC-based software
Compile and analyze information from multiple sources to prepare regular and special reports and respond to information requests from supervisors and departmental staff
Coordinate bulk and special departmental mailings and communications
Perform bookkeeping and financial support functions, including processing budget-related documents, monitoring financial activity, maintaining financial records, and preparing related reports
Act as a liaison to students, faculty, staff, parents, and other constituents by explaining policies and procedures, responding to inquiries, coordinating services, and escalating issues as appropriate
Collaborate regularly with supervisors, internal University partners, and external organizations to exchange information, coordinate activities, and resolve issues
Train, oversee, and provide guidance to student employees and junior staff
Perform other related duties as assigned
Qualification
Required
Associate's Degree in business or other appropriate discipline, plus two to three years of relevant administrative experience, or a combination of education and experience from which comparable knowledge and skills are acquired
Broad base of general administrative skills, including typing/word processing, filing, phone/office reception, and other related duties
Previous experience with computerized information systems
Good reading, spelling/grammar and general writing and math skills
Ability to deal effectively with a wide variety of University personnel, students, and/or outside individuals/organizations
Preferred
Bookkeeping/accounting training or experience desirable
